Key takeaways
  • An employee tracking app shows where field staff are during work hours and proves each visit with GPS, time and photos.
  • The features that matter most: live map, location-based attendance, geo-tagged check-ins, route history and daily reports.
  • Be transparent: tell staff what is tracked and why, track only in working hours, and keep the data secure.
  • Pick an app that connects tracking to your CRM and payroll, so data is used, not just collected.

What is an employee tracking app?

Quick answer

An employee tracking app is a mobile app that records where field staff are during working hours. It logs check-ins at customer sites with GPS, time and photos, marks attendance with location proof, and turns each day into live maps and visit, route and distance reports for managers.

Also called a field employee tracking app, a staff tracking app or field force tracking software, it is built for teams that work outside the office: sales executives visiting customers, site engineers moving between projects, service technicians, collection agents and delivery staff. Instead of calling each person to ask “where are you?”, a manager opens one screen and sees the whole team.

A good app is not about watching every minute. It answers three practical questions: did the visit happen, how is the day being spent, and is the team covering the right customers and areas?

How a GPS tracking app for employees works

The flow is similar in most field force tracking apps:

  1. 1

Staff punch in on the app

Attendance is marked with GPS location and a time stamp (often with a selfie). Tracking starts only now.

  2. 2

Location is recorded during the shift

The phone shares its position at intervals using GPS, Wi-Fi and mobile network signals, balancing accuracy and battery.

  3. 3

    Visits are checked in

At each customer or site the executive checks in; the app saves coordinates, time, photos and notes.

  4. 4

    Managers see it live

A web dashboard shows everyone on the map, today’s visits and who is idle or off-route.

  5. 5

    Staff punch out

Tracking stops. The day becomes a report: route, distance, visits, time at each place.

Why visits need a check-in, not just a location

A dot on a map shows someone was near a place. A check-in with photos and notes, linked to the customer in your CRM, shows the visit actually happened and what came out of it. That is the data owners act on.

9 features to look for in an employee tracking app

Comparing options for an employee tracking app in India? Check for these nine features first; they decide whether the app is used every day or abandoned after a month.

01 Live location map

See every field executive on one map during working hours, with last-updated time and status.

02 Attendance with location proof

Punch in and out from the phone with GPS and a selfie, so attendance is marked where work actually starts.

03 Geo-tagged check-ins

Check in at a customer, site or shop with GPS coordinates, time stamp and photos as proof of the visit.

04 Route history & distance

Replay the day’s route, stops and kilometres travelled, which also makes travel allowance claims simple.

05 Geofencing alerts

Draw boundaries around sites or territories and get alerts when staff enter or leave them.

06 Daily visit & productivity reports

Visits per day, time at each location and distance covered for every person, sent to managers automatically.

07 Battery-friendly tracking

Location is recorded at intervals and only in working hours, so phones last the whole day.

08 Links to CRM and payroll

Visits attach to leads and customers in the CRM, and attendance flows straight into payroll.

09 Clear consent & privacy controls

Staff see when tracking is on, and access to location history is limited to the right managers.

Short answer

Tracking field staff during working hours for work purposes is common in India, but it should be open and limited. The Digital Personal Data Protection Act, 2023 treats location as personal data, so tell staff what you track and why, track only in work hours, and protect the data. Take legal advice for your own case.

India’s Digital Personal Data Protection (DPDP) Act, 2023 sets the rules for handling personal data. The government notified the DPDP Rules on 13 November 2025, with most obligations, including notice and consent, security safeguards and data retention, phased in over about 18 months. The Act lists employment among the “legitimate uses” for processing data, but how far that covers location tracking is still being interpreted.

A sensible, employee-friendly approach that fits the direction of the law:

  • Write it down. Add a short tracking policy to your HR policy or offer letter: what is tracked, when, why and who can see it.
  • Get acknowledgement. Ask staff to accept the policy, and show clearly in the app when tracking is on.
  • Track working hours only. Start tracking at punch-in and stop at punch-out. No tracking on leave days or after hours.
  • Collect only what you need. Location, visits and attendance for work purposes; nothing from personal apps or messages.
  • Limit access and keep it secure. Only reporting managers and HR should see location history, and old data should be deleted on a schedule.
This is general information, not legal advice

Rules and their interpretation are still developing. Speak to a lawyer about your specific policy and contracts.

How to roll out tracking without upsetting your team

Most resistance comes from how tracking is introduced, not from the app itself. Field staff accept it faster when they see what is in it for them.

  1. 1

    Explain the why first

Frame it around fair targets, faster travel allowance claims and proof of good work, not suspicion.

  2. 2

    Show what they get

Automatic attendance (no more manual registers), distance-based travel claims, and visit history that backs up their numbers.

  3. 3

    Start with one team

Pilot with a willing team for two weeks, fix issues, then roll out company-wide.

  4. 4

    Set phone settings once

Allow location and background activity for the app so battery savers do not stop tracking mid-day.

  5. 5

Use the data in reviews, fairly

Discuss trends in weekly reviews; recognise top performers, not just flag problems.

Frequently asked questions

What is an employee tracking app?

An employee tracking app is a mobile app that records the location of field staff during working hours. It logs check-ins at customer sites with GPS coordinates, time and photos, marks attendance with location proof, and gives managers live maps plus daily visit, route and distance reports.

Is it legal to track employees’ location in India?

Tracking employees during working hours for work purposes is common in India, but it should be transparent. The Digital Personal Data Protection Act, 2023 governs personal data, including location. Tell staff what is tracked and why, track only during work hours, keep the data secure and limited, and take legal advice for your situation.

What is field force tracking?

Field force tracking means tracking the location, attendance and visits of employees who work outside the office, such as sales executives, technicians and site engineers, using a GPS app on their phones. Managers see the team on a live map and get daily visit, route and distance reports.

Does an employee tracking app drain the phone battery?

A well-built tracking app records location at intervals and during working hours only, so battery use stays low. GL Funnel’s app is designed for minimal battery usage. Battery saver settings on some Android phones can stop tracking, so set the app as allowed in the background.

Can staff fake their location in a tracking app?

Some people try fake-GPS apps. Good tracking apps reduce this by combining GPS with photos at check-in, time stamps, geofences around sites and route history, so a visit that did not happen stands out in reports.

What is the difference between employee tracking and attendance apps?

An attendance app only records when someone starts and ends work. An employee tracking app also records where they were during the day: site check-ins, route, distance and time spent at each location. Many teams use one app for both.

How much does an employee tracking app cost?

Most field tracking apps in India are priced per user per month. GL Funnel’s Geo Tracking module starts at ₹950 per user per month, and can be combined with CRM, HR and payroll.
